HPSA is seeking a Full-Time Associate, Operations & IT.

The Associate, Operations & IT is responsible for the following:

  1. Assisting the Manager, Stewardship Programs & Operations with developing and implementing metrics, scorecards and dashboards.
  2. Assisting with several projects, such as selecting, developing and implementing software to support the collection and presentation of metrics, scorecards and dashboards.
  3. Identifying, proposing and implementing operational improvements to support HPSA as it manages costs while doubling the number of programs that it manages.
  4. Being seen as an in-house IT SME by the end users. (You do not need to build a network or automate the office with Python scripts. But on the other hand, you should be comfortable helping people figure out how to use any software that HPSA has. This could range from explaining how to do Excel formulas to showing someone how to find things on the HPSA site to teaching people software that was purchased for HPSA’s use.)


A significant portion of the Associate’s time will be spent performing operational duties, such as gathering data, preparing reports and communicating with external stakeholders to ensure HPSA’s ongoing success.

Other duties & key responsibilities include:

Assist in the development of metrics, scorecards and dashboards

  • Review large amounts of historical data from CRM and QuickBooks.
  • Assist with the gap analysis of KPIs, as well as the design of scorecards and dashboards.
  • Validate and verify assumptions using relationships inside and outside HPSA.

Assist with projects

  • It is anticipated that score-carding and dashboarding exercises may result in HPSA procuring additional software. The associate would assist with that project.
  • Other opportunities for improvement may be identified, such as the creation, proposal and implementation of an IT roadmap. Various software packages would have to be considered against several factors, including cost, benefit, ease of use and difficulty to maintain. The Associate would be expected to support these initiatives, as well as be able to support any software that HPSA purchases.
  • A number of non-software projects may arise, such as shortlisting and selecting service providers for the procurement of physical goods and services. The associate would assist with those projects.

Ensure operational success

  • Ensuring that our systems’ data is clear, correct and complete.
  • Ensuring that all required reports are correct and complete.
  • Ensuring that procedures are up to date and followed.
  • Creating and revising procedures for the benefit of the larger team.
  • Mapping process flows and producing other communication tools to help identify and explain improvement opportunities in HPSA’s operations.
  • Demonstrating the success of any improvement initiatives.

Support the wider HPSA team

  • Be available to support others during their peak periods.
  • Be available to support the rest of the team with any questions, particularly as they pertain to how our supply chain works, how we maintain confidence in our operational forecasts and how to use any software that we purchase.
  • Be seen by internal and external stakeholders as proactive, supportive and helpful. In this role, communication is key and attitude trumps knowledge.


  • Post-secondary education in Supply Chain Management or IT
  • Minimum 5 years of relevant experience.


  • Excellent verbal and written communication skills are required. Bilingualism is an asset.
  • Excellent communication via email, telephone and with Teams videoconference software.
  • Experience interacting with the public or in customer service is an asset.
  • Versed with Microsoft Suite (Word, Excel, PowerPoint).
  • Experience with data visualization software is an asset. (Example: Power BI, Tableau)
  • Experience with databases is an asset. (Example: Access, CRM)
  • Ability to analyze data and develop recommendations.
